Be Earth Studio Rental — Terms & Conditions

1. Permitted Use (Teaching & Private Practice Only)

  • Teaching Focus: The rented studio space is to be used strictly for private practice, 1-on-1 coaching, or group instruction of wellness, movement, yoga, pilates, or holistic therapies.

  • Commercial Filming: Standard photo-taking or quick social media filming for your own classes is permitted. However, large-scale commercial videography, product shoots, or corporate media productions require prior written approval from Be Earth management and may be subject to different rates.

  • No Sub-leasing: The Hirer shall not sub-lease, assign, or share the rented space with any third-party organizer without prior written consent from Be Earth.

2. Client Waiver & Liability

  • Hirer’s Responsibility: Be Earth acts solely as the venue provider. The Hirer is fully and solely responsible for the safety, health, and physical conduct of their clients/students during the rental period.

  • Independent Waivers: The Hirer must manage, collect, and maintain their own Liability Waivers and Health Declaration forms for all participating clients.

  • Indemnity: Be Earth accepts no liability for any personal injury, illness, or medical emergencies sustained by the Hirer or their clients while on the premises. The Hirer agrees to indemnify and hold Be Earth harmless against any claims, losses, or legal actions arising from their sessions.

3. Equipment, Props, & Audio Setup

  • 24-Hour Advance Notice: To ensure availability and proper room preparation, the Hirer must request all required equipment (e.g., yoga mats, blocks, straps, bolsters, blankets, or specific aerial/barre setups) at least 24 hours prior to the booking start time.

  • Equipment Care: All equipment and props must be handled with care. After the session, all props must be sanitized using the provided cleaning agents and returned to their original designated storage positions.

4. Booking, Punctuality & Overtime

  • Access Windows: Your booking slot includes an extra 15-min setup and pack-down time. 

  • Overtime Charges: To respect the schedules of other teachers and Be Earth members, any overtime exceeding 10 minutes past the booked slot will be billed automatically in 30-minute increments at the standard hourly rate.

  • Cancellation & Rescheduling Policy:

    • Cancellations or rescheduling requests made more than 48 hours before the booking will receive a full refund.

    • Cancellations made within 24 to 48 hours will incur a 50% cancellation fee.

    • Cancellations made less than 24 hours before the booking, or no-shows, are strictly non-refundable.

5. Studio Care, Damages & Cleanliness 

  • Footwear Policy: To protect our premium flooring, outdoor shoes are strictly prohibited inside the studio rooms. Grip socks or bare feet only.

  • Damage Liability: The Hirer is financially responsible for any damage caused to the studio structure, mirrors, flooring, audio systems, or equipment by themselves or their clients. Repair or replacement costs will be billed directly to the Hirer.

  • Restoring the Space: The studio must be left in a clean, tidy, and orderly condition. No open food or colored drinks are allowed inside the studio rooms (capped water bottles only).

6. Typhoon and Black Rainstorm Arrangement 

  • Typhoon Signal No. 8 (T8) or Above (Studio Closed)

    • Automatic Closure: The studio will close immediately, and all active rental bookings will be suspended, if a T8 (or above) or "Extreme Conditions" announcement is in force.
    • Reschedule: Any bookings affected by an official T8/ Black Rainstorm/ extreme weather studio closure can be rescheduled within 1 month.

  • Black Rainstorm Warning 

    Our studio operations during a Black Rainstorm depend on when the warning is issued:

    • Issued BEFORE Studio Opening (Early Morning)
      • If the Black Rainstorm Warning is in effect in the early morning before our scheduled opening time, the studio will remain closed. And reopen within 2 hours after the warning is down.
      • Bookings scheduled during this closure can be rescheduled within 1 month.
    • Issued DURING Operating Hours (Studio Remains OPEN)
      • If the warning is issued while the studio is already open, the studio will remain open and operational to provide a safe shelter.
      • We understand travel may be unsafe or disrupted. Therefore, if a Black Rainstorm is hoisted, Hirers can also reschedule within 1 month.
